About the role
In the role of Payroll Accountant you are a key member of Varnish Software’s global finance and HR operations. This hybrid role combines payroll coordination, accounting tasks, and HR-related analysis to ensure smooth and accurate compensation-related processes across all legal entities.
While this role does not carry formal staff responsibility, it demands a high level of ownership, cross-functional collaboration, and attention to detail in supporting our employees and ensuring payroll compliance globally. You'll work closely with both internal stakeholders and external payroll partners to provide a seamless experience in everything from pay to policy implementation.
Responsibilities
Payroll Operations & Coordination
Own the end-to-end global payroll process across all legal entities in partnership with local payroll providers.
Coordinate monthly inputs and approvals to ensure accurate and timely salary payments.
Administer employee expense reports and travel reimbursements via systems such as Rydoo and Navan.
Manage updates and maintenance in payroll portals (e.g., Paychex), including onboarding/offboarding, salary changes, and audits.
Support benefit-related administration such as pensions and insurance premiums.
Act as a project lead in implementing or transitioning payroll providers.
Accounting & Reconciliation
Record journal entries related to payroll, commissions, pension liabilities, and taxes across multiple entities.
Perform balance sheet reconciliations for payroll-related accounts.
Support the Accounting Manager during monthly closings, annual reporting, and external audits.
Assist with booking of accruals, vacation pay liabilities, and other payroll-related reserves.
Reporting & Analysis
Prepare and analyze bonus, commission, and ARR (Annual Recurring Revenue) reserves.
Lead annual salary mapping and gender pay gap analysis in partnership with HR.
Compile time-reporting data and generate Dev Hours reports for accounting purposes.
Provide payroll and compensation reports as required by local authorities (e.g., Fora in Sweden).
Compensation Administration
Maintain and update internal Compensation Bands on a quarterly basis.
Ensure accurate vacation balance management and leave tracking aligned with local policies.
Proactively support updates and maintenance in the HRIS (HiBob).
Collaboration & Communication
Act as internal contact point for all payroll- and benefits-related questions.
Liaise with external vendors including payroll agencies and insurance providers.
Champion internal control and compliance best practices in compensation-related areas.
Contribute to HR and finance projects with payroll and accounting insights.
Key Qualifications
Degree in Accounting or Finance.
Minimum 5 years of experience in payroll and accounting, ideally within a SaaS or multi-entity environment.
Experience managing payroll processes across multiple countries.
Strong Excel skills and experience with accounting/payroll systems (e.g., Maconomy, Paychex).
Familiarity with pension and benefits reporting.
Fluent in Swedish and English (spoken and written).
Preferred Qualifications
Previous use of systems such as HiBob, Rydoo, Navan or Maconomy.
Experience preparing or contributing to annual reports.
Exposure to Compensation & Benefits practices and data analytics.
Personal Skills
Structured and detail-oriented, with a high sense of responsibility.
Analytical mindset and financial acumen.
Service-minded, discreet, and trustworthy.
Able to juggle multiple deadlines across global time zones.
Comfortable working independently in a distributed and fast-paced setting.
